Overview

What it is and when to use it

For photographers, organizations and participants documenting permission for a defined photo, video or audio use. Agree on it before recording or publication. Minors, sensitive settings, employee participation and regulated information need extra review.

Key terms

Terms worth understanding

Permitted use defines the purpose and channels. A likeness permission concerns the person shown; copyright concerns the creator's work. Paid advertising is a separate choice. Withdrawal explains what stops and what may remain in already distributed copies.

Notice email for [Participant legal name]: [Participant notice email].

PURPOSE AND MEDIA

Publisher may reproduce, display and distribute the Material only for [Permitted purpose], using [Permitted channels], in [Territory], from [Permitted use starts] through [Permitted use ends]. Online content may be accessible outside the named territory; the parties must account for that when choosing channels. No unrelated purpose is authorized.

Publisher will not publish Participant's name or other identifying labels.

EDITING AND LIMITS

Publisher may crop, resize, color-correct or make ordinary edits needed for the permitted use, but may not materially misrepresent Participant's actions or statements, imply an unagreed endorsement, or use the Material in defamatory, unlawful or materially misleading content. This permission does not authorize AI model training, face or voice cloning, biometric identification, synthetic depictions, political endorsements or sensitive-context advertising. Any such use requires a separate, specific reviewed agreement.

PAID ADVERTISING

Paid advertising is not permitted.

SERVICE PROVIDERS

Publisher may allow production, hosting and distribution providers to handle the Material only to carry out the permitted use and under appropriate restrictions. This is not a right to sell Participant's likeness, license it as stock, or grant unrelated downstream uses.

REVIEW

No separate creative-approval step is promised, but every use must remain within this release.

WITHDRAWAL AND EXPIRY

Participant may request that Publisher stop new uses by writing to [Withdrawal contact]. Publisher will stop making new uses within [Days to stop new uses after a withdrawal request] days of receipt, and at the end of the permitted period in any event. Publisher will remove Material from channels it controls within [Days to remove material after withdrawal or expiry] days after withdrawal becomes effective or permission expires. Previously distributed physical copies need not be recalled; independent third-party sharing may not be fully removable. Publisher will not authorize further distribution and will reasonably request its providers to stop new uses. Mandatory privacy or withdrawal rights remain and may require a different response.

SCOPE OF RELEASE

To the extent law permits, Participant releases claims based solely on uses within these expressly granted permissions. This does not release claims for uses outside them, breach of this agreement, unlawful conduct or rights that cannot be waived. Publisher remains responsible for obtaining the photographer's/creator's permissions and other necessary rights. No medical, educational or other regulated-record authorization is created.

AGREEMENT

The parties agree only to the stated purposes and options. Changes require written agreement. [Governing state] law applies subject to mandatory rights. If a term cannot be enforced, the rest continues to the extent lawful. Ordinary communications use the addresses above; required legal service remains subject to law. Counterparts and electronic signatures may be used where permitted with consent. Publisher signs its obligations; Participant, or legally authorized Guardian as applicable, signs the permissions.

How to send it for e-signature (adult branch only)

The minor branch is download-only for further review. Finish the document and review the full preview with the other party. Check names, dates, payment terms and every selected option. Resolve any state-specific requirements and attach referenced schedules before signing. Download the final document, sign in to Demand Signatures, and upload it to your document workflow. Add the correct recipients, place each person's signature and date fields, review the document, and send it. Keep the completed copy with its attachments. A signature does not replace required disclosures, witnesses, notarization or filing. Check the participant's capacity and the correct guardian route where needed; send the exact selected permissions and have Publisher sign its obligations too.
